Privacy Policy & SMS Terms

How N7HQ Labs, LLC collects and uses your information, and the terms of our text-message (SMS) service notifications. Last updated August 10, 2026.

Overview

What we collect and why

N7HQ Labs, LLC ("N7HQ Labs", "we") operates this website and a repair service for HF/RF equipment. When you submit a service request or inquiry, we collect the information you provide - your name, email address, phone number, call sign, and details about your equipment - solely to review, open, and service your repair ticket and to communicate with you about it.

We do not sell your personal information. We do not use your contact information for advertising. We share it with third parties only as needed to perform the service you requested (for example, a shipping carrier receives your address to deliver your repaired unit, or the equipment manufacturer receives a serial number for a warranty claim you asked us to make).

SMS notification terms

If you check the SMS consent box on our service request form and provide your mobile number, N7HQ Labs, LLC will send you text messages with status updates about your service ticket - for example: request received, unit arrived at our shop, estimate ready for approval, repair complete, and shipment tracking.

  • Program name: N7HQ Labs service ticket notifications.
  • Message frequency varies with repair activity - typically 5-12 messages over the life of a service ticket.
  • Message and data rates may apply according to your mobile carrier plan.
  • Opt out at any time by replying STOP to any message. You will receive one final message confirming your opt-out, and no further texts will be sent. You can also manage notification preferences in your customer account or by contacting us.

  • Consent is not a condition of purchasing any service. If you opt out of SMS, you will still receive ticket updates by email.
  • Carriers are not liable for delayed or undelivered messages.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Your phone number and SMS consent are used only to send you the service-ticket notifications described above and are never sold, rented, or shared for any other purpose. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

Retention

Data retention & security

We keep service-ticket records, including your contact information and repair history, for as long as needed to support your equipment (repair warranty, service history on subsequent tickets) and to meet our legal and accounting obligations. You may request a copy of the information we hold about you, or ask us to delete information we are not legally required to keep, by emailing service@n7hq-labs.com.

Two years without contact, and your personal information goes. If an account has had no activity for two years - no repair, no order, no correspondence - we remove the personal information from it. That means your name, callsign, email address, telephone number, postal addresses, and any station diagram or documents you uploaded.

What we keep after that is the equipment record and the accounting record, with you taken out of them: the make, model and serial of units we have serviced, what was found and what was done, the parts used, and the invoice and payment figures we are required to retain for tax and accounting purposes. Those are kept without your name or contact details attached. We keep them because a repair history belongs to the unit - if that amplifier comes back to us in five years, under any owner, its bench history is what makes the next repair a good one - and because we are not free to discard financial records on request.

Two consequences worth stating plainly. Removing personal information cannot be undone, so if you come back after that point we will not recognise you and your earlier repairs will not be linked to you. And the two-year clock is about contact, not about the calendar: a repair, an order, or an email from you starts it again. If you would rather we removed your information sooner, ask us and we will, other than what the law requires us to keep.

Information you submit is transmitted over HTTPS and stored in access-controlled systems. Only N7HQ Labs personnel involved in servicing your ticket can access your personal information.

Manufacturer and vendor access. Warranty and parts work sometimes requires us to involve the manufacturer or a parts vendor. Those partners get limited access to the ticket they are helping with, and it is confined to what is needed to diagnose and supply parts for your equipment: model, serial number, symptoms, bench findings, service history, the parts involved, and - so they can identify the job and the station it runs in - your name, callsign, and any station diagram you have saved.

This system will never disclose your email address, telephone number, or postal address to them. If a manufacturer needs to tell you something directly, our mail system delivers the message - they are not given an address to write to. No vendor or manufacturer receives your information for marketing.

We would rather be straight with you about the callsign than oversell that protection: a callsign is a public licence record, and anyone holding one can look up what the FCC publishes against it. What we describe above is what we disclose - which does not include your contact details - not a claim that a callsign keeps you unfindable.
